General Summary

DarrowEverett LLP is looking for a Legal Billing Clerk. The candidate must have excellent communication and administrative skills, be highly organized and detail-oriented, be able to multitask without sacrificing efficiency, be responsible, and be able to represent the firm, always, in ways that enhance its reputation.

Principal Duties and Responsibilities

  • Manage extensive internal communications related to time entries and the billing of them, ensuring timely and accurate follow-up.
  • Prepare and process Work-In-Progress (WIP), pre-bills and final bills to ensure accurate, consistent, and timely invoicing in accordance with client specifications.
  • Edit attorney bills, addressing both requested changes and general grammatical or spelling corrections.
  • Review and reconcile account balances in Work-In-Progress (WIP) and in Accounts Receivable (AR) as needed.
  • Assist clients with billing inquiries, including providing copies of invoices, billing histories, trust ledgers, etc.
  • Monitor and track turnaround times for the billing cycle.
  • Assist with attorney time entry.
  • Understand and apply client and matter procedures; while not always responsible for opening matters, the role includes auditing processes to identify potential billing issues.
  • Provide weekly and monthly reports to management regarding updates on new matters and billings.
  • Enter billing data into client-specific online portals, following provided guidelines. provided by client.
  • Collaborate with billing team, sharing responsibilities and maintaining an organized workflow.

Qualifications for Legal Administrative Assistant

  • High school diploma or equivalent is required;associate or bachelor’s degree preferred.
  • Legal billing background desired, though not mandatory.
  • Advanced proficiency in MS Office, Excel,and billing software programs; experience with Clio a plus.
  • Ability to manage multiple projects simultaneously and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Highly organized with the ability to proactively manage workload and follow through independently.
  • Team-oriented with a collaborative approach to achieving goals.
